# Insurance for HVAC contractors and service businesses

An HVAC business may install equipment, perform seasonal maintenance and respond to urgent service calls. Each part of that work belongs in the insurance conversation. Quote inquiries are welcome from New York, New Jersey, Connecticut and Pennsylvania; options depend on the operation, location and carrier review.

The coverage conversation

HVAC contractors commonly compare liability, tools and equipment, commercial auto and employee coverage. Identify installation versus maintenance work, the systems serviced and any specialized tasks. Review equipment waiting for installation, completed operations and contract requirements separately rather than assuming a single business policy handles them all.

## Explain the systems and service mix

Distinguish heating, cooling, ventilation and refrigeration work where applicable. Describe residential versus commercial projects and any work involving rooftop units, hired lifting equipment, duct fabrication or other specialized operations. Include maintenance agreements as well as one-time installations.

Tell the broker whether the business designs or specifies systems in addition to installing them. Advice or design responsibilities can introduce questions that differ from ordinary installation liability. The proposed coverage should be reviewed against the actual services promised to customers.

## Follow equipment from delivery to installation

List tools used by technicians separately from customers' units, stocked parts and equipment waiting to be installed. Explain who owns the items at each stage, where they are stored and how they reach the job site. Include rented tools or machinery.

Ask which property or inland marine options address transit, temporary storage and installation-stage concerns. Eligibility, covered property and limits vary. A commercial vehicle's physical damage coverage does not by itself answer whether a unit carried in the vehicle is insured.

## Review service callbacks and completed operations

An equipment breakdown, an installation defect and damage alleged to result from completed work are different questions. Ask what the liability policy addresses and what it excludes, including the cost of repairing or replacing your own work.

Bring contract requirements from property managers or general contractors. Discuss requested limits and endorsements before the job starts. A certificate can summarize existing coverage, but it does not create a warranty for the system or amend the insurance policy.

## Account for seasonal changes in people and vehicles

Share payroll by duty, employee and subcontractor arrangements, and the states where work occurs. If staffing or vehicle use changes during a busy season, explain the anticipated change instead of relying on last year's figures alone.

List service vans, regular drivers and any rented or employee-owned vehicles used for business. A useful comparison shows the vehicle, equipment and employee coverages side by side, with effective dates and any information still needed for underwriting clearly identified.

## Have these details ready.

- Systems serviced and installation, maintenance and design activities.

- Tools, stocked parts and equipment awaiting installation.

- Payroll by duty, seasonal staffing and operating states.

- Vehicles, drivers, current policies and customer insurance requirements.

## Common questions.

### Does HVAC insurance cover a customer's equipment?

It depends on ownership, the stage of the job and the policy. Explain whether equipment is in your custody, in transit, awaiting installation or already installed, then ask which coverage may apply.

### Is a service warranty the same as insurance?

No. A service agreement or warranty is a separate obligation. Ask how the policy treats your work and resulting damage without assuming it pays every callback or equipment failure.

### Should seasonal technicians be included in the quote?

Describe all staffing arrangements and expected payroll. The broker can explain what information the insurer needs and how changes should be reported.
