The quick answer
New York workers’ compensation quotes require more than an employee count. Describe legal entities, job duties, payroll and every state where work occurs. The New York Workers’ Compensation Board says most employers need coverage and publishes specific rules for cross-border operations and government proof requests. Eligibility and any exemption must be reviewed for the actual business.
Describe everyone who performs services.
List employees, owners, officers, temporary staff and subcontractor arrangements. Explain part-time, seasonal and family involvement rather than assuming that payment method or a small headcount resolves the coverage question. The Board’s guidance treats different business structures and working arrangements separately. Bring the legal business name and ownership details so Daniel can identify the information needed. A label such as independent contractor is not, by itself, a coverage determination.
Review New York work and out-of-state projects together.
Tell Daniel where employees physically work, including home offices and temporary projects. The Board distinguishes full New York coverage from other-states provisions for out-of-state employers; the correct approach depends on the work and circumstances. Likewise, a New York policy does not remove the need to check another state’s requirements. Have the policy information page available for review before sending a crew across a border or accepting a new project.
Get the right proof for a permit or public contract.
A customer certificate and a government proof request may require different documents. The Board states that an ordinary ACORD certificate is not acceptable proof under New York’s government permit, license and contract requirements. Share the requesting agency’s instructions and deadline early. Ask which approved evidence applies to your coverage arrangement; do not assume that an exemption form is appropriate simply because a general certificate was rejected. Correct paperwork still depends on valid coverage or a valid exemption.
Build the price comparison from accurate payroll.
Prepare projected payroll by duty and state, current classifications if known, and available claims information. Explain hiring plans or a change in the type of work instead of repeating old estimates. Ask whether the premium is subject to audit and which records should be retained. Compare the full quoted term, applicable charges, employer’s liability limits and billing arrangements. A smaller initial payment is a cash-flow choice, not proof of a lower final cost.
Confirm coverage and related benefit responsibilities.
New York’s Board addresses workers’ compensation, disability benefits and Paid Family Leave as distinct coverage responsibilities. Do not assume a workers’ compensation quote settles all three. Identify what needs separate review, then confirm the insurer’s requirements and effective date. CoverTrust does not add an additional broker fee. Call with your operations, payroll and desired start date, or request a callback; Daniel can explain what is ready and what still needs carrier review.
