Property manager insurance: distinguish your services from the buildings

Managing a property for an owner creates different insurance questions from owning the building itself. A useful review identifies the management company's responsibilities, contracts and actual services. CoverTrust can discuss inquiries across New York, New Jersey, Connecticut and Pennsylvania; eligibility and specialized professional wording must be confirmed.

The coverage conversation

Property managers may need professional liability for covered service-related allegations, along with general liability, business property, employee, auto or cyber coverage where relevant. A generic professional liability policy is not automatically suitable for property management. Define the services and relationships before comparing it with the building owner's insurance.

Describe what the management agreement requires

Separate leasing, tenant communication, rent administration, maintenance coordination, inspection and project oversight. Identify any sales, development, construction management or other activities beyond routine management. A precise service description helps the insurer determine which professional terms may be relevant.

Explain the types of properties managed and whether the company has an ownership interest in any of them. Managing property for unrelated clients can raise different questions from managing property you own. Do not assume a policy accepts every relationship simply because the business calls itself a property manager.

Keep the owner's property and your business distinct

Identify the legal owner, management company and other relevant entities in the contracts. The owner's building coverage, the manager's business property and each party's liability are separate interests. One entity appearing on a document does not automatically resolve the insurance needs of the others.

Review any additional-insured or indemnity requirements with the actual policies and endorsements. A certificate summarizes selected information rather than changing coverage. If a contract asks for something the proposal does not clearly provide, obtain clarification before representing that the condition is met.

Examine professional services, dates and exclusions

Professional liability, or errors and omissions, can address covered allegations involving professional services. Ask whether the offered definition includes the management duties actually performed. Review exclusions, defense costs, deductibles or retentions, and any conditions involving related entities or ownership interests.

Some policies use claims-made and reporting terms, making prior coverage, retroactive dates and reporting obligations important. Bring current documents before changing insurers or ending a policy. This page does not establish that a generic consultants' form, or any particular carrier product, is suitable or available for the business.

Map information access and payment responsibilities

Describe the tenant, owner and vendor information the business holds, the systems used and who can authorize transactions. Ask how cyber events, payment fraud allegations and service-related errors are treated under the proposed coverage. They should not be assumed to fall under one broad liability heading.

If contracts require crime, fidelity or another specialized form, identify that request separately. These are questions for availability and policy review, not coverages this page promises to provide. Avoid sending tenant files, account credentials or banking information through the initial quote form.

Include site visits, employees and contractor oversight

Explain who visits properties, performs maintenance and hires or supervises outside contractors. Provide payroll by duty, operating states and vehicle use, including employee-owned or rented vehicles used for business. Contractor documentation is useful, but does not automatically settle the management company's own responsibilities.

Use consistent service descriptions, revenue, contracts and effective dates across quotes. Ask for a clear list of included coverages, specialist questions and outstanding information. Confirmation of the policy and start date must come from the insurer or authorized representative before the business relies on coverage.

Have these details ready.

  • Management duties, property types, client contracts and ownership interests.
  • Business entities, revenue and current professional policy dates.
  • Staff duties, site visits, maintenance oversight and vehicle use.
  • Information systems, payment roles and specific client insurance requirements.

Common questions.

Does the building owner's insurance automatically cover the manager?

No. Review the parties, actual policies and any endorsements. The owner's property insurance and the management company's professional or business exposures are separate questions.

Can a standard professional liability quote cover property management?

Only if the offered form and eligibility fit the actual services and relationships. Ask specifically about property management duties, exclusions and ownership interests; do not assume a broad label is enough.

Why disclose properties the management company also owns?

Ownership and related-entity relationships can affect the insurer's evaluation and policy terms. Provide those details so the proposal can be reviewed against the actual arrangement.

Are rent-handling or payment fraud problems automatically covered?

No. Describe the activity and alleged event. Professional, cyber and specialized crime or fidelity provisions can differ, and any needed option must be separately confirmed.
